We work in the fields of Agriculture for resilience, energy and Rural WASH with markets, gender and climate change cross-cutting all our work.
· JOB PURPOSE: To provide an efficient and responsive administrative, organizational, and logistical service to the CD, helping him/her to manage and priorities his/her time.
· Providing full secretarial assistance to the management team during absences to ensure a high level of service is maintained.
Duties & Responsibilities Not All INCLUSIVE :
Manage the CD diary
· Record and manage CD appointments/ meetings and inform/remind CD with meeting times, Receive and dispatch mail.
· Receive and direct telephone calls, Send, receive and dispatch faxes.
Manage CD and organisational e-mail boxes
· Check general e-mail box and dispatch messages to concerned staff.
· Regularly check CD e-mail boxes and take necessary actions including responding to some of them
Undertake filing of documents
· Update the filing system and generalise its application in the organisation, regularly, check the CD’s out tray and make necessary filing.
· Work to synchronize electronic and hard filing systems.
Manage CD meetings
· Coordinate the organisation of Senior Management Team and Programme Management Teams meetings (SMT and PMT).
· Prepare the Agenda for the SMT and PMT meetings, Prepare folders of materials for above meetings and other similar meetings, Take meeting minutes and circulate to meeting attendees.
Organisational polices
· Circulate CD circulars and letters to staff.
Typing of material
· Typing of letters and memos in English and Arabic, Typing of reports, presentations, meeting minutes, timetables and other relevant materials.
Assistance to other staff
·Provide necessary similar assistance to CD subordinates, Any Other tasks to be assigned by CD.
KEY QUALIFICATIONS:
A Bachelor’s degree in Business Administration or any other major substitute relevant experience.
KEY COMPETENCES:
· Internal and external communication skills, Database Management, Good computer skills.
ESSENTIAL:
· Perfect attention to details, excellent organizational skills, excellent communication skills, both verbal and written and excellent knowledge in English language.
RELEVANT JOB EXPERIENCE
· Proven similar experience working as of secretarial – office management not less than 2 years
